A customer with no CURRENT property is one nothing can be attached to — shown rather than hidden behind a name.

The customer and the property they own, together — a job needs both, and recording one without the other leaves a row nothing can be attached to.

Projects, and the phases under them

A project is what phase two belongs to. Without one, “rear yard, phase 2” is a job that happens to share an address with “rear yard, phase 1” and nothing joins them.

A site with no CURRENT owner cannot have a job opened against it — the picker only offers open ownership — so it is counted rather than left to be discovered.

Record what a site needs

Blank means leave it as it is — this writes only the boxes you fill in, and says which. The address is not here on purpose: it is what every document already issued against this site refers to.

The document the customer signs. A version freezes the moment it is sent, so a change is a new version rather than an edit.

Open an estimate

Against a customer and the property they own. It opens as a draft with version 1, ready to price.

What was agreed, and every change order chained onto it. The value shown is the original plus the approved changes — derived by the database, never stored.

Every invoice, closest to overdue first

A draft is not owed by anybody — nobody has been sent it. An invoice with no due date is not “not due yet”: nobody set a term, so nothing can be said about lateness, which is different from saying it is fine.

Raise one

The number is minted by the database, not by this form. A deposit is capped by B&P 7159.5(a)(3) at $1,000 or 10% of the contract, whichever is less, and billing past the contract plus its approved change orders is refused — a draft change order is not money anybody has agreed to.

Money received

Cleared and received are different dates on purpose. A cheque in the drawer is not payment, so the cleared date is left blank until the funds are good — and the invoice status follows the cleared money, computed by the database rather than typed here.

What was ordered, what arrived, and what the supplier actually charged for it.

Raise an order

The header and its lines are written together or not at all — half an order reads as a real one with a total of zero. It opens as a draft; issuing is a separate decision.

Suppliers

Where goods are bought matters, not only what they cost: a yard in a lower district-tax area delivering to a higher one leaves this company owing the differential.

The pass-through clock

Seven days from the day the owner paid us. The state is computed by the database, not by this screen.

Blocked

Every subcontractor who cannot be given work right now, and the reason in words. Read this BEFORE scheduling one, not after.

Record a payment

The date the OWNER paid us is what starts the seven-day clock — leave it blank until they have, and this stays out of the deadline list rather than showing a date nobody set.

Subcontracts

Two things the paperwork decides and nobody revisits: whether the documents were named, and whether the affidavit is on file.

Record the paperwork

Final payment cannot be recorded until the affidavit is on file. Both boxes here are facts about a document, so neither is undone from this screen.

Subcontractors

A licence number here is recorded, not validated — 0009 verifies status against CSLB and stores when it was checked, and a well-formed number is not a valid one.

An insurance block is cleared by recording the certificate on Cover & credentials.

The seven conditions, or none

A construction subcontract escapes the ABC test only on all seven of these. The database fails closed on a subcontractor nobody has assessed — that is not the same as failing, and the two are shown apart, because one is a form to fill in and the other is a decision to revisit. Holding a licence is necessary and not sufficient: the work has to be within the class held.

Certified payroll reviews

A finding with no corrective action beside it is a problem somebody wrote down and walked away from, which is worse than one nobody found.

Concealment coverage, worst job first

Each of these elements gets buried by the next operation, and after that the photograph is the only evidence there is. A waiver counts — but only a waiver somebody gave a reason for.

The photographs themselves

The bucket is private. Each thumbnail is a separate five-minute signed URL that the storage policy has to authorise first, so a link copied out of here is dead before anybody can paste it.

Issue the warranty set

One row per component class the owner has given a term to. Classes with no term are skipped, not issued open-ended — an open-ended warranty is a worse outcome than an absent one. Pressing it twice is safe: it will not overwrite a warranty already issued.

The clock starts at substantial completion, so a job without that date is refused rather than given a term beginning at no particular moment.

Warranty claims

Found by address rather than by job, because in year eight the house is still there and the job number is in somebody’s archive. A claim from an owner who did not buy the work is flagged: the warranty may not run to them at all.

Record a claim

Against the property, not the job — a claim in year eight is found by address, and the job number will be in somebody’s archive by then. Whether the person claiming is the one who bought the work is left blank until somebody establishes it: unknown is not the same as no, and it decides whether the warranty runs to them at all.

What is still under warranty

Soonest to expire first. A component with no end date is not a warranty that never ends — it is one nobody has given a term.

Every count here is a floor. A session id is per-tab, so somebody who clicks an ad on a phone and submits from a desktop three weeks later appears as two unrelated visits — the first touch is real, and this page cannot see that it led to the second. Cut a channel on these numbers and you may be cutting the one that started the job.

Landing pages, by what they booked

A close rate needs enough leads to mean anything. Below that floor this says how many there were instead of printing a percentage — one lead won is not a hundred per cent, it is one lead.

What the assistant did for the lead path

Grouped by how many questions somebody asked before submitting. Correlation, not cause — the people who ask three questions may simply be the people who were going to buy.

How many touches an outcome takes

The question the journey log was built to answer. Read it as a floor: these are the touches inside a visit, not a person’s whole path to the door.

Meal and rest premiums

One hour of pay per employee per day per kind, recoverable years back. Waived is not paid — an agreement on file is a legal instrument, not a payment, and the two are counted apart here so an hour somebody is owed cannot vanish behind a checkbox.

No dollar figure appears here on purpose. The premium is one hour at the employee’s regular rate of pay, which folds in non-discretionary bonuses and shift differentials — and no wage of any kind is recorded in this database. A number derived from a rate nobody entered is a number somebody might actually pay.

Timesheets whose clocks disagree

Not an accusation. A canyon with no signal and a phone set back look identical from here — but payroll should see them before it pays them.

Production rates

What an estimate is built from. Every rate carries where it came from, because a number somebody guessed in year one must not be read in year four as though it were measured. Superseded rates are kept and not listed — they explain last spring’s estimate, they do not price this one.

Every clock, closest to gone first

A recorded notice of completion REPLACES the longer window, so which rule governs depends on a document this company is not a party to and may not be told about.

Preliminary notices

Served late it still works — but only for the lookback window before service and everything after. The work before that is unprotected, which is why the gap is a number worth seeing rather than a date worth filing.

Lien waivers, worst exposure first

A conditional waiver becomes effective on payment, so if the cheque never clears the right survives. An unconditional one takes effect on signature whatever happens to the money — give one before the funds are good and the right is released for nothing. The four forms are mandatory in substance; a modified one is unenforceable in a way that helps nobody.

How long this can come back

Statutes of limitation and repose on finished work. Read the caveats: the four-year patent-defect limit does not apply to an owner-occupied single-unit residence, which is most residential landscape work.

Notices of completion

Recording one SHORTENS every downstream deadline. It is a deliberate entry rather than a side effect of marking a job complete.

Read from the database, with the citation, so the screen states the statute rather than asserting it.

Insurance certificates, worst exposure first

A certificate is evidence, not coverage. It does not amend the policy, obliges nobody to tell you about a cancellation, and is often issued by a producer without the carrier involved. What protects this company is the endorsement — and for additional-insured status, the one that matters is completed operations, because a defect claim arrives years after the crew left.

Credentials that need renewing

The lead time is per TYPE, not global: continuing education needs months because the hours must be completed before expiry, and some have no grace period at all. A type marked blocks work is not a reminder — it is a stop.

What this company holds, whether or not it is expiring. The alert list answers “what needs renewing”; this answers “what do we have”, which is the question somebody asks before putting a crew on a job.

Every price, oldest first

This is what every estimate is priced from. A cost is only as good as the day somebody checked it, so the ones nobody has confirmed sort to the top rather than to the letter their name starts with. Confirm records that today’s figure is still right without retyping it — the common case, and the one that otherwise never gets written down.

Add an item

A unit of measure is not optional: a quantity on an estimate line means nothing without one. The tax treatment is a default — the same plant can land either way depending on how the contract is written, so a line can override it.

Recipes

An assembly is a recipe — a paver patio is base rock, bedding sand, units, edge restraint, joint sand and labour, all per square foot. Putting one on an estimate materialises it into editable lines and forgets the recipe, so a later catalogue change can never rewrite a signed price. What it costs here is what it would cost today.

Show retired recipes too

Nothing in this family can be deleted — 0010 grants insert and update and no delete, the same reason nobody can delete a catalogue item. A recipe is retired; a step cannot be removed at all, so set its quantity to zero and delete the line it expands into on the estimate.

The driving unit is what every component quantity is read as being per one of. Get it wrong and every quantity in the recipe is wrong by the same factor.

Add a step

A step is usually a catalogue item and a quantity. It can also be labour with no material at all — “grade and compact, 0.048 hours per square foot” — or a note for something nobody buys.

What waste is for

Waste is an assumption, and writing it down is what lets the overrun be measured against it rather than absorbed into “materials ran over”. Ten per cent on flagstone is a real cut allowance; ten per cent on a pallet of pavers is not, because pavers come in whole pallets. An assumption nobody can revise is one that stops being believed, so it is editable in the table.

Changing it here changes what future estimates assume. Lines already on an estimate keep the figure they were built with — a signed price does not move because the catalogue did.

Every permit, worst first

The inactivity clock resets on an approved inspection, not on site activity — a job that pauses between inspections is the exposure. How many idle days lapse a permit is set by the local jurisdiction and is not recorded anywhere in this system, so this shows how long it has been and says nothing about how long is left.

Inspections

A re-inspection points at the visit it repeats, so a repeated mistake reads as a chain rather than as unrelated rows.

Raise a permit

Marking one NOT REQUIRED needs the exemption argued in writing, and every other status needs the requirement argued. The database refuses the row without it.

Add an agency

The building department, city, county or special district a permit is chased through. A permit cannot be raised until at least one is on file.

Record an inspection

An inspection is what resets a permit's inactivity clock. Leave the result blank until somebody has actually been out.

Water efficiency (MWELO)

At and above 2,500 sq ft the package is not finished at installation: it needs an irrigation audit and a signed certificate of completion, and the job is not closed until they are filed. An area taken off an aerial photo is fine for deciding whether to worry and is not fine on a form.

Agencies

Building, planning and public works are often three counters in one building with three queues. Some will not take an application until the contractor is registered with them, separately from the CSLB licence.

The dashboard’s pipeline says where the work is. This says which job, whose, and when. A job with no scheduled start is the one that disappears: the field app asks for a date, so a job without one is invisible to every phone no matter how sold it is.
